A meeting notes template you can reuse
A useful meeting record lets someone find what was decided and what happens next. Keep the discussion brief enough that the actions remain easy to see.

Start with the purpose
Write the date, attendees, and the outcome the meeting needs. A list of topics is helpful, but a decision to make is more concrete. Attach any material people are expected to read before the discussion.

Review before sharing
Read the action list aloud or confirm it with the people responsible. Distinguish a proposed decision from an agreed one. Add a link to the source when a decision depends on a document or an earlier meeting.
If you record audio with permission, use it to check an uncertain detail. A transcript can contain mistakes and should not silently replace the reviewed summary.

Save the document as a template, then create a fresh note for each meeting. Add local reminders for your own tasks. Link the meeting from the project index and export a PDF or text summary through the share sheet.
Sending a summary sends a copy. It does not assign or track another person's work in a shared task service.
